Information we collect

When you send an enquiry, we may collect your name, business name, email address, telephone number, the service you are interested in, your message, the page used to submit it, and technical anti-spam information. When you use the website, our hosting, security and content-delivery providers may also process basic request information such as your IP address, browser or device information, timestamps and requested pages. We do not intentionally ask for special-category information through the enquiry form, so please do not include sensitive personal information in your message.

Why we use it

We use enquiry information to respond, understand the support you may need, arrange an introductory conversation, protect the form and website from misuse, and keep an appropriate record of our communications. Depending on the circumstances, our lawful bases are taking steps at your request before entering into a contract and our legitimate interests in managing genuine business enquiries, operating and protecting our website, and keeping proportionate business records.

You are not under a statutory or contractual obligation to send an enquiry. We need the fields marked as required so that we can understand and reply to your request; without them, we cannot respond through the form. We do not use enquiry information for automated decision-making or profiling.

Who receives it

Authorised Ledgerly Accountants personnel can access enquiries. Our website hosting, security and content-delivery providers and Microsoft 365 process information for us where necessary to provide the website, store the enquiry temporarily and deliver notifications. We may also disclose information where required by law or to establish, exercise or defend legal claims. We do not sell enquiry information and do not use it for marketing unless you separately choose to receive marketing.

Where it is stored and international transfers

Enquiries are stored in our secured WordPress database and notifications are sent to our Microsoft 365 mailbox. Where a service provider processes information outside the UK, we require an appropriate transfer mechanism and safeguards recognised by UK data-protection law.

How long we keep it

Enquiries that do not become client matters are normally retained for up to 90 days after they are marked completed, then deleted automatically. We may retain information for longer where reasonably necessary for legal claims, regulatory requirements or to resolve an ongoing matter. If you become a client, relevant information is moved into our client-record systems and retained under the periods that apply to our professional and legal obligations.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict the use of your information, to object to particular uses, and to receive information in a portable format. To exercise a right, contact us using the email address above. You also have the right to complain to the Information Commissioner’s Office.

Security and changes

We use access controls, validation, anti-spam measures and administrative safeguards designed to protect enquiry information. We review this notice when our practices or service providers change and will publish the updated date on this page.
